Position Overview

The proposal assistant intern will assist in developing and updating resumes and project case study content; ensure content meets program and quality standards.  The intern will work in the national Proposal Center in the company's Houston office, and will also support the Proposal Center staff in packaging and shipping proposals and qualifications. This position description incorporates the core responsibilities of the job, however, other related duties not specifically mentioned might also be performed, and not all responsibilities may be carried out depending on operational needs.

Primary Duties

The proposal assistant intern supports the Proposal Center staff:

  • Develop and update information from existing electronic libraries and databases to support proposal document development, i.e., file/folder set up and organization of proposal (RFP) documents;
  • Manages information capture, update, and revisions to project write-ups, resumes, and other data;
  • Copy-editing of content for grammar, style, spelling, punctuation and clarity; proofread, format and produce error-free documents;
  • Set up and format standard proposals in Word, i.e., enter/assemble dates, titles, contact information, table of contents, population of standard sections, required forms, etc.;
  • Help track and monitor the schedule of all proposal documents from inception to distribution of final copies;
  • Assist with quality assurance for all proposal deliverables, including compliance with RFP, proofreading, corrections, printing, packaging, and shipping details;

Education & Experience

  • Graduate or student pursuing a bachelor's degree in business, marketing, journalism, English, or a related area of study.
  • 1-3 years of experience in writing and content development in a related field preferred.

Skills and Abilities

  • Experience with Microsoft Office (Word, Excel, PowerPoint, Outlook) Adobe Acrobat Professional and SharePoint;
  • Experience reviewing and editing documents and/or marketing materials;
  • Familiar with storing, updating and moving information in SharePoint;
  • Familiar with professional service working environment involving responses to RFPs and RFQs;
  • Skilled at organizing and translating information into clear written documentation;
  • Highly organized, detail oriented and experienced in organizing and managing information;
  • Ability to multitask and work in a fast-paced environment, often on short notice, to meet large volume of work and tight deadlines;
  • Strong interpersonal and communication skills (oral and written);
  • Exhibits initiative, positive attitude and motivation;
  • Ability to work independently and in a team environment.

Working Conditions

Working conditions are normal for an office environment.

Salary

$15.00 per hour

Additional Information:

  • Part-time, 29 hours or less per week;
  • Temporary job position anticipated to last at least 6-8 weeks.
