Position Overview:

Duties and Responsibilities:

Position Summary:

  • The Administrative Administrator will provide high level administrative support to the COO by conducting and coordinating research, preparing statistical reports, handling information requests and performing administrative functions.

Essential Functions:

  • Prepares, collects and/or coordinates the collection, preparation, and development of information, reports, and documents for use in discussions/meetings of the executive management team, staff, and outside groups or individuals.
  • Ability to produce complex and professional Power Point presentations, Excel Spreadsheets, and business analytics.
  • Ability to maintain the security of confidential and business sensitive information.
  • Coordinates and schedules events, board of directors meetings, conferences, meetings, travel, and conference rooms.
  • Excellent management and decision skills to facilitate complex meetings schedules and logistics requirements in a changing environment coordinating complex domestic and international travel arrangements and international meetings.
  • Maintains courteous and professional demeanor interacting with senior-level executives, clients, and staff on behalf of the executive management team.
  • Maintains key contacts database, corporate files, and business files.
  • Coordinate, create, edit and distribute both internal and external correspondence under the direction of Executive Management
  • Provides administrative support including but not limited to: phones, prepares itineraries, agendas, expense reports.
  • All other duties as assigned.
  • Occasional over time may be required.

Education and Experience:

  • Bachelor's degree in business or a related field
  • Minimum 5 years of administrative experience

Skills and Abilities:

  • Excellent oral and written communication skills
  • Ability to prioritize and handle multiple projects in a rapidly changing work environment
  • Intuitive with the ability to work independently and/or on a team
  • Strong organizational skills
  • Exceptional research skills
  • Comfortable interacting with Clients
  • High degree of discretion when dealing with confidential information
  • Excellent phone and interpersonal skills (clients, colleagues, vendors)
  • Proficient computer skills: (including MS Word, MS Excel, PowerPoint; Adobe Acrobat Professional)
