Position Summary

We are a growing consulting firm in need of a reliable and talented Senior Proposal Specialist. Your work will make a real difference as you support the Witt O'Brien's business teams and other internal business functions.

As a Senior Proposal Specialist, you will work collaboratively with the marketing and proposal team, business leads, technical leads, and subject matter experts to develop winning proposals, qualifications, and interview presentations. You will perform the role of proposal lead for proposal preparation efforts, which will also require close coordination with internal business teams including Contracts, Finance, and Human Resources. You will assist with the lead generation process through identification and distribution of potential leads, as well as enter and update data within the CRM database. You will also serve as a resource for internal business functions and departments for proposal and/or business development needs.

Your work will directly impact our ability to grow our core business and expand our offerings into existing and new markets and practice areas. The ideal candidate will have demonstrated experience supporting activities related to proposal writing, development, and production for all business lines throughout the organization. The qualified individual requires executive presence, and strong verbal and written communication skills. We are looking for a self-motivated, responsible and confident individual with a commitment to integrity and the ability to prioritize multiple projects, meet deadlines, and work collaboratively with minimal supervision. Essential Functions

This role works independently as a member of the Proposal Team and reports to the Proposal Manager. The candidate will perform the following essential functions:

  • Act as proposal lead for tasks including but not limited to:
    • Analyzing solicitation requirements, developing proposal outline and management plan, leading proposal kick-off and production meetings, defining expectations and assigning responsibilities, identifying tasks, developing production schedule,
    • Assisting business lead and technical manager in developing and writing win themes and differentiators
    • Ensuring proposal tasks and deliverables are completed within allotted schedule, including drafting/editing content, scheduling reviews, submittal production, compliance verification, and delivery
  • Contribute to writing/editing/rewriting efforts to include interviewing subject matter experts for required proposal content development.
  • Write and edit resumes and project descriptions specific to RFPs.
  • Assist with developing, implementing, and maintaining a centralized proposal library and repository of resumes, project profiles and descriptions, case studies, etc.
  • Assist Proposal Manager with managing and administering the lead, go/no-go and proposal management processes and maintaining quality control procedures.
  • Assist Proposal Manager and Capture / CRM Administrators with administering the capture process, entering new opportunities into CRM, and updating opportunities as they flow through the pipeline, as needed
  • Assist Proposal Manager with managing surge support staff or third party support, as needed.
  • Use project management and communication skills to manage, organize, and prioritize multiple projects and meet competing deadlines.
  • Diagnose and promptly report issues in need of escalation.
  • Provide guidance, management support and peer reviews to junior staff as needed.

Preferred Skills and Abilities

The candidate should possess the following:

    • Familiarity reviewing and understanding solicitation (RFP, RFQ, RFI) requirements and developing proposal schedules and assignments.
    • Experience providing proposal support for a professional services firm.
    • Understanding of public and private sector markets.
    • Knowledge of Federal, State and Local government procurement processes and proposal forms.
    • Knowledge and understanding of CRM databases, preferably Microsoft Dynamics 365.
    • Detail oriented with exceptional writing, editing, and document formatting and organization skills.
    • Ability to assist in developing strategic approaches and concepts.
    • Advanced experience with Microsoft Word, Excel, and PowerPoint.
    • Experience with Adobe InDesign preferred, not required.
    • Ability to manage, organize, and prioritize project assignments to meet competing deadlines.
    • Strong analytical and strategic thinking skills with the ability to evaluate data sets to determine trends, establish strategies, and make decisions.
    • Outstanding interpersonal and communication skills with the ability to effectively communicate across diverse audiences and influence cross functionality.
    • Ability to multi-task as well as be strategic, creative, and innovative in a dynamic, fast paced matrix team environment.
    • Proven ability to "surge" time and effort in times of need (i.e. when the company is helping its clients manage through a disaster, emergency, or other crisis).
  • Self-starter with a positive attitude and the ability to work effectively both independently and as part of a team.

 

  • Education and Experience Requirements

The candidate must possess the following education and experience requirements:

  • Degree: Bachelor's Degree in Marketing, Communications, or equivalent combination of education and experience.
  • Years of Experience: 5 or more years of experience in the planning, preparation, and production of proposals and qualifications packages for government and private clients.
